Where spice stock goes wrong

A restaurant buys 5 lb of cumin, and the jars online still say 40 in stock.

  • Three formats, three numbers

    Jars, refill bags and bulk bags each carry their own count in Shopify. They're all scooped from one bin, so every bulk order quietly makes the jar count wrong.

  • Labels in two units

    Jars say 1.8 oz (50 g) for US shoppers and get weighed in grams on the bench. Keep a separate count per format and the conversions pile up.

  • Bulk orders come in pounds

    Cooks and restaurants who buy bulk ask for 1 lb or 5 lb. One 5 lb order is 2.27 kg, which can be most of a bin, and Shopify has no idea.

  • A long list, recounted by hand

    A spice shop's catalog is long. Recounting every jar and bag size after a busy weekend eats the hours meant for grinding and blending.

  1. Reads jar labels as sizes

    “Jar 1.8 oz (50 g)”, “Refill bag 100g” and “Bulk 1 lb” are read as sizes. When a name holds two, Carboy uses the last one, so put the weight you scoop last.

  2. One bulk order, every size recounted

    A pound sold online or at the counter comes out of the pool, and the jar and bag counts drop with it, because they share the same grams.

  3. Your whole rack in one scan

    Set up many finds every spice sold in more than one size and creates all the pools at once, starting from the stock Shopify already has. You correct the weights from the scale.

    The To fill list totals the jars and bags waiting in open orders for each spice, so you weigh from each bin once.

  5. An email only when a spice is low

    Give each pool an alert level. The daily email lists the spices under it at the hour you pick, and nothing arrives on days when all is well.

A full 2 kg bag of smoked paprika goes in, with 20 g kept back for spills at the scale. One order buys a 50 g jar and a 1 lb bulk bag.

Each count = floor((pool − kept back) ÷ size)

The pound took 453.592 g, converted exactly rather than rounded to 450. The jar count fell by ten although only one jar sold.

Questions spice sellers ask

  • My jar names have ounces and grams. Which one counts?

    The last size in the name, so “Jar 1.8 oz (50 g)” counts as 50 g. If a name has no size, or the wrong one comes last, you set it once by hand.

  • Whole and ground cumin: one pool or two?

    Two if you buy and shelve them separately, since they're different stock. One if you grind to order from whole seed; then the ground variants draw from the seed pool.

  • Does Carboy handle blends?

    A blend you mix in batches is its own pool: weigh the batch and add it. Carboy doesn't take the paprika and garlic out of their own pools when you mix, so update those by hand.

  • Can Carboy print jar labels?

    No. Carboy keeps stock counts and stops there, so keep printing labels the way you do now.

  • Do restaurant and counter sales count?

    Yes, as long as they're Shopify orders: POS sales at the counter, and draft orders for restaurants once you complete them.

  • I carry 140 spices. What would that cost?
