For tea shops

Sell loose leaf tea by weight, from one count per sack.

To sell loose leaf tea by weight on Shopify, count the sack in grams, not the pouches. Carboy keeps each sack as one pool: a 100 g pouch takes 100 g from a 1 kg pool, and the 25 g, 50 g and 100 g pouches are all recounted in Shopify from what is left. Sizes in ounces work too, at 28.35 g to the ounce.

Carboy is in Shopify App Store review. Leave your email and we'll write the day it's approved. Free for one pool.

Where tea stock goes wrong

You sold four 100 g pouches. The 25 g pouches still think the sack is full.

  • Three pouch sizes, one sack

Shopify counts the 25, 50 and 100 g pouches as separate stock. You weigh them all from the same sack, so the only honest number is the grams left, and Shopify has no field for it.

  • Sampler sets reach into five sacks

A tasting set of five teas takes 10 g from each. Adjusting five products after every set sold is the job that slips on a busy week.

  • US customers shop in ounces

Buyers in the US look for 2 oz, 4 oz and 1 lb, while the importer invoices in kilos. Converting at 28.35 g to the ounce by hand is where rounding errors creep in.

  • First flush doesn't come back

A seasonal tea is gone until next year once the sack is empty. Finding that out from an order you can't fill is the worst way to learn it.

How Carboy keeps the sack and the pouches in step

  1. Grams and ounces in one pool

Names like “25g pouch”, “4 oz tin” and “1 lb bag” are read as sizes and converted inside the pool, so a US listing and a metric one can draw from the same sack.

    For example: 4 oz tin → 113.4 g · 1 lb bag → 453.6 g

  2. Every pouch recounted after each order

An order, a refund with restock or a cancellation moves the pool, and each size gets the number of whole pouches the grams left can fill.

    For example: 312 g left → 25 g × 12 · 50 g × 6 · 100 g × 3

  3. One sack, several products

A tea can sell as pouches in its own product and as a 10 g taster in another. Point both at the same pool and both take from it.

    For example: Sencha pool → Sencha 25 · 50 · 100 g · Sencha taster 10 g

  4. A warning before the sack runs dry

From the last four weeks of sales Carboy estimates when each tea runs out. The daily email lists the ones going soon at the hour you choose, and stays quiet when nothing needs you.

For example: Darjeeling first flush · 640 g left · runs out in about 3 weeks

  5. Margin on every pouch and tin

Enter what you paid per kilo and what each pouch or tin costs. Each size shows its margin at today's price.

    For example: 50 g pouch · $9.50 · cost $3.55 · 62.6%

A 150 g order from a 1 kg bag

A fresh 1 kg bag of sencha goes in, with 10 g kept back for brewing at the counter. One order buys a 100 g pouch and two 25 g pouches.

  • Order #22071 × 100 g pouch + 2 × 25 g pouch

Each count = floor((pool − kept back) ÷ size)

150 g left the bag, and each size now shows what the remaining 850 g can fill. The 50 g pouches dropped from 19 to 16 without anyone buying one.

Questions tea sellers ask

  • What about sampler sets that mix several teas?

Not yet, and we'd rather say so. Each variant draws from one pool, so a set of five teas can't take 10 g from five sacks. Keep the set's stock in Shopify yourself, or sell tasters as single-tea variants that each draw from their own pool.

  • I buy in kilos and sell in ounces. Does that work?

Yes. Keep the pool in kg, g or lb; sizes named in oz or lb are converted at 28.35 g to the ounce. A 4 oz tin takes 113.4 g.

  • Can a tin and a refill pouch share one sack?

Yes. “100 g tin” and “100 g refill” both take 100 g. Packaging cost is set per size, so the tin's higher cost shows in its own margin.

  • Do sales at the shop counter count?

Yes. Shopify POS sales arrive as orders, so a pouch weighed out at the counter comes out of the same pool as one sold online.

  • What about tea I brew for customers to taste?

Set it aside as the amount you keep back, which Carboy never sells, or record it as a loss when you weigh the sack. Either way the pouch counts allow for it.

  • A new harvest arrives. Same pool or a new one?

If it sells under the same product, add the new bag and what you paid; cost per gram becomes an average of old and new. If the new harvest gets its own listing, give it its own pool.
